Overview
This policy describes the personal and organization information we collect when you explore NurtureLink marketing pages and when you complete our self-serve onboarding (signup) flow. It is written for childcare operators in Canada and their teams.
Information we collect during onboarding
When you start a NurtureLink subscription through our signup form, we ask for details needed to provision your account, invoice you correctly, and stay in touch. Depending on the plan you choose, this may include:
- Plan and program details — for example, subscription type (unlicensed, licensed on a NurtureLink subdomain, or licensed with your own domain), requested capacity, and identifiers such as a short subdomain or custom domain name.
- Organization profile — your facility or program name (public-facing), registered legal name and optional trade name, primary service address (street, city, province or territory, postal code in Canadian format), and optional program licence number.
- Primary system administrator — full name, cell phone, and email address for the first admin on your NurtureLink account (login, security alerts, and Stripe checkout receipts when that differs from the facility contact).
- Facility contact information — primary contact name, main phone, and email for your organization (may be the same person as the administrator or a different coordinator).
- Legal entity — registered legal business name, optional doing business as (trade) name if it differs, and optional provincial or municipal program licence number for future regulatory or data-sync use.
- Terms of Service — we record that you accepted our Terms of Service when you complete self-serve signup.
- Billing-related identifiers — for Canadian tax compliance we collect either a GST/HST program account number (licensed business plans) or a Social Insurance Number (unlicensed home daycare plans). These values are encrypted in our licensing database using server-side keys separate from your daycare site. We use them on subscription receipts and for statutory tax reporting. Card or bank details for payment are collected by our payment processor (Stripe), not stored by us as full payment credentials.
- Technical data — standard web server and security logs (such as IP address, browser type, and timestamps) to operate and protect the service.
How we use this information
We use onboarding and account data to create and maintain your NurtureLink environment, communicate about your subscription, meet legal and tax obligations, improve reliability and security, and provide support you request.
Marketing and third parties
We do not sell your information. We do not share it with third parties for their own marketing or advertising purposes.
We may use subprocessors that help us run NurtureLink—such as hosting, email delivery, payment processing, or fraud prevention—strictly to provide the service you signed up for. Those providers are not permitted to use your data for their own marketing.
Retention and security
We keep account and billing records only as long as needed to operate NurtureLink, meet legal requirements, and resolve disputes. We use administrative, technical, and organizational safeguards appropriate to the sensitivity of childcare operations data.
Your choices
You may contact us through Support to ask questions about this policy or to request access or correction of your account information, subject to applicable law.
Changes
We may update this policy from time to time. When we do, we will revise the “Last updated” date above. Material changes will be communicated in a reasonable way (for example, by email to the address on your account or a notice in the product).
